Education - Bachelor's Degree Skills - Excel - Communication Skills - Administrative Experience - Data Collection - Adobe Acrobat Pay Grade: 38 Hiring Range: $18.01 - $21.61/Hourly JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Coordinator I provides administrative support to the Office of Academic, Faculty, and Student Affairs (AFSA), primarily through processing faculty documents that result from various faculty processes (recruitment, appointment, annual reviews, terminations, and enhanced reviews such as promotion, tenure, post-tenure review, enhanced post-tenure performance review). DUTIES AND RESPONSIBILITIES: Reviews and processes faculty appointment documents; serves as a liaison between Payroll, Human Resources, and colleges to verify various faculty data required. Scans faculty documents and stores in electronic and/or print-based repository systems. Provides ongoing guidance to college and department administrative staff for faculty processing, to include recruitment, appointment, annual and enhanced reviews, and termination. Verifies academic credentials are official per accreditation standards; advises on obtaining education credential evaluations for faculty who receive education/training outside of US. Navigates IRIS (current personnel and financial system) to retrieve faculty data; uploads personnel documents. Navigates Digital measures, OnBase and other systems to retrieve and/or edit faculty-related documents/data. Supports the following processes: appointment, reappointment, promotion, tenure, annual faculty evaluations, accreditation, credentialing teaching faculty and other ongoing or new faculty-related processes. Prepares data for System-wide reports. Assists with special faculty-related projects and events. Coordinates and schedules meetings between AFSA, college deans, directors and various administrators within the UT System; involving technology, specific space requirements, catering, staffing and more. Supports and participates in training related to the systems, policies, and procedures used by the Office of Academic, Faculty and Student Affairs. Serves as a front office receptionist including greeting guests, answering phones and handling campus inquiries. Supports the logistics coordinator in various projects, ASFA-related events, or training sessions. Performs other related duties and tasks as assigned. Qualifications MINIMUM REQUIREMENTS: EDUCATION: Bachelor's Degree (TRANSCRIPT REQUIRED) EXPERIENCE: One (1) year of administrative experience; OR combination of related education and work experience to equal nine (9) years. (Experience with the UTHSC faculty appointment process is preferred). KNOWLEDGE, SKILLS, AND ABILITIES: Experience in an educational setting or Human Resources is preferred. Excellent organization, communication, and interpersonal skills required. Experience with the UTHSC faculty appointment process is preferred. Skilled at data collection and analysis in making decisions. Ability to listen and interpret concerns by faculty, staff or students to determine appropriate solutions. Working knowledge of MS Office (especially Outlook, Word, Excel), Adobe Acrobat Pro, navigating d drives and One-drive, and using various information systems. Ability to work independently and as part of a team. Skilled in scheduling/meeting coordination. Skilled in multi-tasking with the ability to adapt to new systems and technologies. Knowledge and skills with a wide range of administrative support functions. An official transcript or documentation to verify education must be submitted in a sealed envelope to the Human Resources Department prior to first day of employment if selected for a position.
