Administrative Support Assistant I

Fayette County

Pay Grade 33

Duties/Responsibilities:

The County Extension Administrative Support Assistant I is directly responsible to the County Director. Time allotment will be approximately 40% agriculture and natural Resources; 30% Family and Consumer Sciences; 30% 4-H Youth Development. Duties include:

  • Provide leadership for a program of activities that meets the needs of all eligible clientele regardless of race, color, national origin, age, sex, disability, religion or veteran status.
  • Greet clients and answer telephone requests in accordance with general instructions.
  • Prepare letters, newsletters, reports, recorded and other related documents for rough drafts, corrected copy, or recorded media, proofread completed materials and make corrections.
  • Gather and compile information as requested for files or reports.
  • Maintain all administrative departmental, personnel, and financial records using the UT system as well as the hard copy files.
  • Utilize the personal computer programs of Microsoft Office (Wore, Excel, PowerPoint), SharePoint, Quicken and Outlook Explorer.
  • Inventory, order, account for, and maintain all office supplies and equipment, including but not limited to risograph, adding machine, shredder, laminator and postal machine.
  • Compose routine letters and replies based on general instructions.
  • Schedule meetings, arrange, appointments as required.
  • Stay updated on all Extension Policy and Procedures and other resources.
  • Attend administrative training, seminars, and conferences as needed to perform the job.
  • Organize and manage the Extension office as requested.
  • Assume other duties as assigned.

Minimum/Required Qualifications (include education, experience, skills & abilities, licenses & certifications):

  • Must have a high school diploma, or equivalent.
  • Superior communication skills (written & verbal), ability to work with the public, organizational skills.
  • Proficient in Microsoft Office programs & social media, excel and Quicken.

Preferred/Desired Qualifications:

  • Additional education beyond high school diploma preferred.
  • Three or more year's office experience preferred.
  • Superior customer service skills with strong verbal and communications skills.
  • Experience with Share Point and updates/editing web sites.
