The New Patient Registrar provides pre-registration for new
patients in accordance with established policies and procedures in
a timely, accurate, efficient and courteous manner. They will
coordinate the new patient Assessment/Triage (A/T) visit with the
Assessment/Triage nursing staff. The New Patient Registrar will
regularly interact with additional clinical departments to ensure
timely and accurate data maintenance with respect to all aspects of
patient registration and will maintain at accuracy at the 95th
percentile or above. They will assists with registration of
established patients as necessary and perform other duties as
assigned by the Patient Registration Manager to meet the goals and
objectives of the and the department.
Responsibilities
- Performs pre-registration of new patients prior to their
arrival. Processes Acceptance Notices within 2 hours of their
issuance, issuing a Medical Record Number (MRN). Contacts St. Jude
Acceptance Notice author or the referring physician for any missing
data. Contacts the family or Primary Care Physician (PCP) in order
to obtain demographic and insurance data necessary to complete the
pre-registration process. Verifies primary and secondary insurance
coverage and/or coordinates insurance verification with the Patient
Registration Supervisor in order to assure completion of insurance
coverage verification prior to patient's first visit. Verifies
primary and secondary insurance coverage prior to the patient's
first visit. Enters demographic and insurance information into PM
Launch, the Admission Discharge Transfer System (ADT). Forwards
insurance information to Patient Accounting, Utilization Review
(UR) staff, UR Manager, Managed Care, and Patient Registration
immediately upon completion of insurance verification. Obtains
referral from PCP, enters the referral number into PM Launch, scans
a copy of the referral into the patient's insurance folder, and
forwards a copy to the UR Referral Specialist. Updates the
Physician Master Files in both Millennium and Sapphire with
Referring Physician information if not already in the systems, and
then notify the appropriate people of the addition. Organizes and
prioritizes pre-registration duties and paperwork based upon the
patient's expected date of arrival.
- Completes registration/admission procedures upon arrival of new
patients. Skillfully interviews, obtains, and enters all
demographic and insurance data not obtained during the
pre-registration process. Provides patient/parents with New Patient
Handbook, Notice of Privacy Practices, Parent's Rights and
Responsibilities handout, and advanced directive information (if
over 18). Explains hospital policies and procedures relating to
registration, and answers questions of patient/guardian as needed.
Informs the patient and family about Patient Registration
procedures, Patient Services, notary services, interpreter
services, internet and computer services, and the family resource
center. Obtains the appropriate signatures for the General Consent
Form, Notice of Privacy Practices Receipt, Patient/Parents Rights
and Responsibilities Receipt, Advance directive (when applicable),
Children's Oncology Group Registration (when applicable), and
Consent for Hemoglobin Testing (when applicable), witnessing all
appropriate areas. Compiles the patient chart. Pages the A/T nurse
or Nurse Coordinator to Patient Registration to escort the patient
and family to the first appointment. Obtains nurse signature on the
Chart Release Form. Distributes copies of insurance cards and all
insurance information to Patient Accounting, Utilization Review
(UR) staff, UR Manager, Managed Care, and Patient Registration
immediately upon completion of insurance verification Scans all new
patient information, consent forms, picture IDs, insurance cards
and information, and demographic data to the Patient Registration
Manager for review and for saving into Patient's Electronic Folder.
Completes initial 30-day interview for update of patient
information and accuracy of insurance information. Answers family
questions about registration, travel services, notary services,
interpreter services, internet and computer services, and the
family resource center.
- Performs patient registration services for established return
patients during times of heavy volume and/or short staffing.
Registers return patients in a complete, timely, and accurate
manner by validating and entering information into the ADT System.
Receives, maintains, and gives patients their specific clinic
schedule/appointment card and places armband on patient in
accordance with Patient Registration Policies and Procedures.
Changes basic team or clinic data as required. Copies new insurance
cards and forwards to Patient Account Specialist by Alpha split.
Prints or reprints patient charge embosser card and/or
admission/registration face sheet and forwards to appropriate
clinical representatives. Performs insurance verification
- Maintains Customer Satisfaction Requirements through positive
employee, staff, patient, patient family and guest relationships.
Greets patients, parents, staff, and visitors in a courteous,
respectful, and professional manner upon their arrival. Answers the
telephone in a courteous, professional manner by the third ring.
Responds to requests and questions in a cordial, respectful, and
professional manner. Actively supports and incorporates the mission
and core values of St. Jude into daily activities. Treats all
others with respect and demonstrates excellence and compassion in
daily work and relationships with others.
- Maintains confidentiality of all information related to
patients, medical staff, employees and all other information
- Assists with training new employees with the highest standards
and in a proactive manner to the front desk responsibilities
- Performs other duties as assigned by the Patient Registration
Manager to meet the goals and objectives of the hospital and the
department
- Maintains regular and predictable attendance.
Minimum Education
- High School diploma or GED required
- Associate's degree preferred.
Minimum Experience
- Three (3) years of experience in a healthcare office
environment required
- Experience in healthcare admission and/or registration
preferred
- Experience in with insurance verification preferred
