Job Description:

City Year Memphis is seeking a Development Operations Coordinator (DOC) who is responsible for leading Development-related efforts in operations and data management to leverage corporate, event, grant, and constituent information. The Development Operations Coordinator (DOC) reports to the Development Manager and plays an integral role in back-office and administrative functions. - In collaboration with the Development Manager, the DOC ensures the integrity of all data, while maintaining and tracking financial revenue to ensure that quarterly financial goals are met. The Development Operations Coordinator will also create, implement, and support operational systems that will enable the Development team to perform with greater effectiveness, efficiency, and accountability. -


Database Management

  • Manage the site's fundraising database (cychannel - a Salesforce tool), including gift processing, reconciliation reports, financial dashboards, and monthly proposal and revenue reports
  • Oversee gift processing, including processing donations, generating invoices for donors, and producing timely acknowledgement letters
  • Collaborate with the Development Manager to create progress and analysis reports, financial dashboards, and supplemental documents for board meetings, Development Committee meetings, and department meetings.
  • Create campaigns, dashboards, and reports to track individual portfolio goals and accounts
  • Implement best practices, processes, and trainings into the Development department to ensure that the database is being used effectively and efficiently
  • Document and maintain record of all grant and foundation applications, reports and documents for future reference
  • Ensure accuracy of all donor information through regular database maintenance -
    Operations Support
    • Secure necessary vendors, obtain quotes, secure contracts, and monitor vendor performance for special events to ensure City Year receives exceptional service and value
    • Ensure all department expenses, receipts, and invoices are processed in a timely manner
    • Manage inventory and storage of all department equipment, event supplies, and gift materials
    • Manage meeting logistics for Development Committee, Alumni Board, and Board of Directors
    • Collaborate with Impact Operations Coordinator to identify areas for functional improvements and to drive continual improvements of processes
      Event & Administrative Support
      • Support Development events, including MLK Day of Service, Comcast Cares Day, Alumni events, and Graduation, through logistical support, online RSVP process, mailing lists, registration, and event reporting
      • Manage event spreadsheets including revenue stages, attendance, benefits, and historical information
      • Create and manage event one pagers that track goals, attendance, fundraising, event details and logistics to create an easily accessible record for the team to compare year over year
      • Coordinate with Impact staff and AmeriCorps members to ensure an accurate and efficient process for in-kinding gifts to support school-based teams
      • Assist with annual appeal mailing, including creation of collateral, mailing logistics, and tracking follow up
      • Facilitate special requests from national headquarters as needed, including updating donor website, providing annual report lists, communication needs, and special mailings
      • Provide additional administrative and operational support to department and site as needed
      • Set up and arrange logistics of prospect/donor visits to schools
      • Work with school-based teams to ensure corps and staff are prepared for visitors and that visitors are minimally disruptive to service and impact
      • Create presentations and print material folders for donor meetings
      • Prepare and distribute visit briefings
        Donor Stewardship
        • Manage Red Jacket Society Ambassadors through full year of donor cultivation and stewardship including RJS Ambassador bios, letters, event attendance and AmeriCorps member connection to program
        • Manage HQ logistical requests for Red Jacket Society
        • Manage Development Team through thank you note, email, call process as gifts come in
          Prospect Research
          • Serve as site prospect research point by submitting all prospect research requests to HQ
          • Conduct supplemental research prior to local meetings and asks
          • Corporate, Individual and Foundation prospect identification through internal database and external resources
            Organizational Initiatives & Site Support
            • Work closely with Development Manager to understand priorities and business goals, and develop strategies to meet the Devo needs
            • Partner with City Year Memphis' departments and staff to ensure that site-wide goals are met, including, but not limited to, the AmeriCorps member applicant interview process, stakeholder engagement, event and service day participation, and cross-departmental committees
